Medlin Payroll Software
- What happens if the federal or state tax calculations change in the middle of the year?
- The revised payroll program can be downloaded at no additional cost.
- If the change is not listed on our News page, contact us.
- If you need a disk or CD, send $10.00 for shipping and handling.
- Why can a salaried employee's net pay differ from check to check?
- Accuracy in rounding. All fixed percentage deductions - like social security and Medicare - are calculated based on the employee's year to date gross pay, not the gross pay on any individual check. Using the year to date method is more accurate than using the gross pay of a single check. The program manual has detailed examples of how Medlin Payroll Software calculates fixed percentage deductions.
- Why is the social security, Medicare, or another fixed percentage deduction too high or low on a particular check?
- Then happens to correct a check where the deduction amount was calculated manually or entered incorrectly. Since Medlin Payroll Software calculates flat percentage taxes based on the year to date gross pay (see above topic), any error in entering a deduction is corrected on the next check, if you let the Payroll Software program calculate the tax. For example: If the deduction should be 10.00 on each check, but on one check the amount was manually changed to 0.00, the next time you let the Payroll Software program calculate the tax, the "missing" 10.00 will be deducted, in addition to the normal amount. This also applies to a check where too much was withheld. The program manual has detailed examples of how Medlin Payroll Software calculates fixed percentage deductions.
- Why does the state or federal tax calculated by Medlin not match my tax booklet?
- Make sure you have entered the employee's information correctly (status and allowances), and you are using the correct pay period. If you pay weekly, but Medlin Payroll Software is set for a monthly payroll, the calculations will not be correct. If the employee is having additional amounts taken out, be sure to add the same amount to the booklet amount, then compare.
- We use the percentage calculations, which are more accurate than the tax charts. In most cases, the tax charts match Medlin only if you earn the exact middle amount in the pay range. Another test is to look at the booklet's pay ranges just above and below the employee's pay. If the amount calculated by Medlin Payroll Software is equal to, or between these numbers, you have the correct configuration.
- Make sure you have the current tax booklet.
- Make sure you are using the current version of Medlin Payroll Software.

- Tips & Tricks
- Instead of printing the paychecks one at a time, use the "Save" button. After entering all of the checks, print a Payroll Check Listing and make sure you have entered the hours and deductions correctly. Correct any errors, then print all of the checks as a "batch" from the Reports screen.
- To print a report showing wages for a specific employee during a specific time frame, change the employee's department to something unique, then use the Worker's Compensation report.
