To find out if your bank will process ACH files, call your banking officer first.

In most cases, your banking officer will know nothing.

Be persistent!

Somewhere in the bank is an underpaid, but knowledgeable employee who knows how to process an ACH file.

Smaller banks tend to be more flexible and are more likely assist.

Some banks will try to dissuade you, or steer you to one of their expensive paid products.

This makes direct deposit easy, and cost competitive, for those preparing payroll for others, and for those with more than one hundred paychecks per year.

 

Optional Data

If directed by your bank/processor enter the required data in the 'Optional Data' field.

Optional Data is placed in the 'Company/Batch Header Record', field 4, of the ACH file.

This is only needed if directed by your bank/processor, usually containing your bank account number.

Omit SSN's from File

Check this box to prevent the SSN's from being included in the ACH file.

If not checked, the employee SSN is used in the Entry Detail records, field 7, Individual Identification Number.

Include Balancing Entry

If you are required to submit a 'balanced' ACH file (your bank requires the debit/reversing entry in addition to the payments), check this option.

If your bank accepts or requires an 'unbalanced' ACH file (only the payments are in the file), make sure this option is not selected.

Create ACH File

Creates and saves an ACH file.

Once the file is created, you must get the file to your processor.

Create and E-Mail File

Creates and saves an ACH file.

Once the file is created, you will have the opportunity to email the file to your processor.

Make sure your processor is willing and able to accept your file via email, and that you have the correct email address to send the file to.

The file contains sensitive data, which you would do not want to go to the wrong place.
